Connecting your company's WhatsApp

Link the number by scanning a QR code or typing a code on the phone. The team's WhatsApp is part of Oracle and above; your personal number and an extra number have their steps here too.

Updated on

Hades connects your WhatsApp the same way WhatsApp Web does: the number becomes a linked device and its conversations show up in the dashboard. Connecting the team's number is part of the Oracle, Demigod or Titan plan. The person who does it is the owner or a manager. If your plan doesn't include it, the Operation's WhatsApp row in Integrations shows a padlock and a View plans button.

The three kinds of number

  • Operation's WhatsApp — the company's official number. Only the owner and managers connect and disconnect it. Leads that arrive from ads through it go into the funnel, and the conversations show up in Clients → Conversations.
  • My WhatsApp — each rep's personal number. Only its owner connects it, and only someone with Oracle on their own seat (the Initiate seat on Demigod can't: whoever manages the account upgrades the seat in Team). This number doesn't capture leads, and nobody but that person sees the conversations unless they share them.
  • Another company number — an extra number for the team, for companies with more than one line (Sales, Support). Only the owner and managers create it, up to 3 per company, once the main team number exists. Its leads go into the main account.

Step by step: the team's WhatsApp

  1. In the left menu, click Clients and then the Conversations tab.
  2. Click Connect the team's WhatsApp. If your company has no account yet, Hades creates the first one, called My business, and opens the window.
  3. The first time, the notice Connecting a WhatsApp number: the risk sits with the number appears. Read it and click I have read and accept. If you click Cancel, nothing gets connected.
  4. Pick a path: Link with QR or Link with number.
  5. If you picked the QR: on the phone that has the number, open WhatsApp, go to Linked devices, tap Link a device and point the camera at the QR on the screen.
  6. If you picked the number: type the number with the area code under WhatsApp number and click Generate code. On the phone, go to Linked devices, Link a device and Link with phone number, and type the 8-character code that appeared. The code lasts a few minutes; if it expires, generate another.
  7. Wait. The window updates on its own: WhatsApp connected appears, with the active label, and the number you linked.

You can also connect from the account menu: click your photo (or your initials) at the bottom of the menu, choose Integrations and, on the Operation's WhatsApp row, click Connect WhatsApp (or Manage, if an account already exists). On that path, once it's connected, open Clients → Conversations and click Turn on Conversations: the number is already connected, so it doesn't ask for the QR again, it only starts saving the messages in Hades.

The notice about the risk to the number

Before the first connection Hades shows a notice and only moves on after your I have read and accept. In short: the number is linked as a device through a provider that is not the official Meta API; WhatsApp can limit, suspend or ban a number at any time, without notice, and neither Hades nor the provider can reverse that. The risk goes up when the number sends many messages to people who don't know it, gets reported or is blocked often. How the number is used and what the messages say are the responsibility of whoever connects it and of the company that owns the account. The full text is in section 15 of the Terms of Use.

The acceptance is per person and per company: whoever connects a personal number accepts too. If the notice text moves to a new version, Hades asks again on the next connection.

Step by step: your personal WhatsApp

  1. Click your photo (or your initials) at the bottom of the left menu and choose Integrations.
  2. On the My WhatsApp row, click Connect my WhatsApp. If a padlock appears saying that connecting your own WhatsApp is part of Oracle, ask whoever manages the account to upgrade your seat in Team.
  3. Accept the notice and read the QR (or use the number), as in the team's step by step.
  4. Once connected, Conversations for your number turns on by itself and shows up in Clients → Conversations. If you see more than one inbox, yours is called My number.
  5. If you want the owner and managers to see these conversations, tick Share this number's conversations with the company's owner and managers on the same My WhatsApp row. Left unticked, only you see them.

Step by step: connecting another company number

  1. In Integrations, on the Operation's WhatsApp row, click Manage. The window for the main number opens.
  2. Scroll to the bottom of the window and click Connect another number. (If the company has several accounts, the button sits right below the list of accounts.)
  3. Under Number name, write how it should appear in Conversations (for example, Sales or Support). If the company has more than one account (the agency case), also choose under Leads from this number go into.
  4. Click Create and show the QR and scan the QR on that number's phone. The notice acceptance is the same one, and Conversations for that number turns on by itself once it connects.

In the list, the extra number shows the Extra number tag and a sentence saying which account receives its leads. Once the company has 3 extras, the screen answers that this is the maximum for now and tells you to talk to us to connect more.

If the number drops

A phone with a dead battery, no internet, or someone unlinking the device all drop the connection. While it is down, the number neither receives nor sends messages. Hades checks the connections about every 20 minutes and, when it sees the drop, sends the Your WhatsApp disconnected notice to the bell in the dashboard (plus a phone alert for anyone who has the Hades app installed). Who gets it: for the team's number, the owner and managers; for a personal number, only its owner; a rep doesn't get notices about a number that isn't theirs.

  1. Open the number's window: Integrations → Manage (or Clients → Conversations, on the screen of the disconnected number). The label shows dropped.
  2. Try Refresh connection first, in the Stuck? box. It restarts the connection without deleting anything: the number stays connected and no conversation or lead is lost. It takes up to half a minute, and the window shows the result of each step.
  3. If the label stays on dropped, click Link with QR (or Link with number) and connect again. The conversations that were already saved come back with it.

To turn this notice off, click your photo (or initials) at the bottom of the menu, choose Profile, and under Notifications click Choose what I receive: the item is WhatsApp disconnected, in the ACCOUNT AND PLAN group.

Changing numbers

  1. Open the number's window under Integrations → Manage and click Disconnect. Confirm with Disconnect (Keep it connected cancels). On the team's number, the leads that would come in through it stop entering the tracker until someone connects again.
  2. Click Link with QR (or Link with number) and connect the new number. The risk notice doesn't ask for acceptance again unless its version has changed.
  • The old number's conversations stay saved, but the inbox shows only those of the number connected now. A new number starts an inbox of its own.
  • If you connect the old number again, its conversations show up again.
  • An old number unused for 90 days has its conversations deleted, with a notice in the inbox 7 days before. Details in Using WhatsApp conversations.

If it didn't work

  • “Only the owner or a manager can change the team's WhatsApp.” — you signed in as a rep. Ask a manager, or use your My WhatsApp.
  • “This WhatsApp belongs to someone else on the team. Only they can change it.” — a personal number is only handled by its owner.
  • “Before connecting, read and accept the notice about the risk to the number.” — the notice was closed without I have read and accept. Click connect again.
  • The padlock with “View plans” — the account's plan doesn't include the team's WhatsApp. See the plans or, for the personal number, ask for the seat to be upgraded in Team.
  • An error generating the QR or the code — the message says why. Click again; if it's the code, check the number, with the area code, and start with the country code if it's outside Brazil.
  • The QR stayed on screen and nothing happened — check that the right phone's WhatsApp camera read the QR. The window updates on its own when WhatsApp accepts the device; if it shows “Unstable check”, it keeps trying.
  • You got “The company already has 3 extra numbers” — that's the maximum for now. Talk to us on the chat below.

What this does not do

  • Connecting the number doesn't create leads. A WhatsApp conversation only becomes a lead on its own when it came from a campaign: Why the conversation didn't become a lead.
  • It doesn't use the official Meta API, so the risk to the number is yours: a number blocked by WhatsApp doesn't entitle you to a refund and Hades can't undo it.
  • Disconnecting the number doesn't delete the conversations already saved in Hades.
