Why a WhatsApp conversation didn't become a lead

A lead is only created on its own when the conversation came from a campaign. An ordinary conversation stays in Conversations only, and you can create the lead by hand from the conversation's contact card. Covers the Automatic leads switch and how to tell where a lead came from.

Connecting WhatsApp doesn't create leads. A WhatsApp conversation only becomes a lead on its own when it came from a campaign: the person clicked an ad that opens WhatsApp, or came in through one of Hades's links carrying the campaign's code. An ordinary conversation — an old client, a friend, a supplier, a group message — stays only in Clients → Conversations. That keeps your lead count, your funnel and your cost per lead from filling up with conversations that were never an ad. The rule applies from the Oracle plan, which is what gives you the team's WhatsApp.

What counts as “came from a campaign”

  • An ad that opens WhatsApp (Meta's Click to WhatsApp): when WhatsApp reports which ad the person came from, Hades uses that signal to create the lead already tied to the campaign.
  • Hades's link per campaign: under Results → Ads, in the Meta and WhatsApp tab, in the WhatsApp leads section, you save the Number that answers and Hades generates One link per campaign. The link's message comes pre-filled with a code, and that code is what ties the conversation to the campaign. If the code doesn't match any known campaign, the conversation doesn't become a lead.

Also never turned into leads on their own: messages you sent, group messages, reactions, anything from the numbers you listed under Team phone numbers (Numbers that are NOT leads), and everything that comes in through your personal WhatsApp (My WhatsApp), which doesn't even have this option. In all of these cases the conversation is still saved in Conversations; only the lead and the deal in the pipeline aren't created.

The “Automatic leads” switch

On by default. When off, no WhatsApp conversation becomes a lead on its own, not even one that came from an ad: they all stay in Conversations and you create the lead with the button on the contact card. Only the owner and managers can change it, and it's a switch per account (the main number's setting also applies to extra numbers, which send their leads to the main account).

  1. Click your photo (or your initials) at the bottom of the left menu and choose Integrations.
  2. On the Operation's WhatsApp row, click Manage. If the company has several accounts, pick the account from the list.
  3. In the WhatsApp window, scroll to the Automatic leads section.
  4. Tick or untick Automatically turn people who arrive from a campaign on WhatsApp into leads and click Save.

Creating the lead by hand

  1. Open Clients → Conversations and click the conversation.
  2. Click Contact card, at the top of the conversation. If no lead is linked, the Prospect block says No prospect linked and explains: this conversation didn't come from a campaign, so it didn't enter the funnel on its own, and you decide whether it becomes a lead.
  3. Click Create lead and deal in the pipeline. The screen shows what will be created: the lead with the conversation's name and phone and its card in the pipeline, by default at First contact.
  4. Click Confirm. If you change your mind, click Cancel.
  • Only the owner and managers can create it. A rep sees the line “The account admin links this conversation to a prospect.”
  • If a lead with the same phone number already exists, the button becomes Link to (their name): Hades links the conversation to the existing one and doesn't create a twin. If more than one has the same phone number, the screen asks you to choose whose conversation it is.
  • Clicking twice doesn't duplicate anything: a conversation that already has a lead returns the one it has.
  • Without a phone number it can't be done: when WhatsApp identified the contact only by an internal code, the screen answers that a lead can't be created without a phone number.
  • A lead created this way has no campaign, because it didn't come from one.

What doesn't change: forms and integrations

The rule is only for WhatsApp conversations. A lead that arrives through a form, Typebot, GoHighLevel, Zapier or another integration you set up yourself keeps coming in as before, with or without a campaign, and the Automatic leads switch doesn't affect it.

How to tell where a lead came from

  • On the conversation's Contact card, the Campaign field shows the campaign's name when the lead came from one. With no field, the lead has no campaign linked.
  • Under Results → Ads, each campaign's lead count includes the ones that came from it. A lead created by hand has no campaign and so isn't counted under any.
  • The card's Deal block shows the stage of the deal and the View on the board button, which opens the pipeline.

If the ad's lead didn't show up

  • Is the Automatic leads switch off? Check under Integrations → Manage.
  • Did the message come in through the personal number (My WhatsApp)? That number never creates leads. The ad has to lead to the team's WhatsApp.
  • Is the sender's phone on “Team phone numbers”? Messages from those numbers never become leads. Take the number off the list if that was a mistake.
  • Did the person type your number instead of clicking the ad or the campaign link? Without the campaign signal, the conversation stays only in Conversations. You can create the lead from the contact card.
  • Is the team's number connected? If it dropped, no message comes in. See Connecting your company's WhatsApp.
  • Does the account's plan include the team's WhatsApp? Without the Oracle plan (or above), capturing leads from WhatsApp doesn't exist.
  • If you're sure the person came from the ad and none of this explains it, talk to us on the chat below: Hades records the reason for ad-looking messages it couldn't read, and we can look it up.

What this does not do

  • It doesn't delete or hide the conversation: it stays in Clients → Conversations.
  • It doesn't create a lead from an old conversation: a lead is only born from a new message that arrives carrying the campaign signal, or from your click.
  • It doesn't decide for you: a conversation without a campaign waits for your Create lead and deal in the pipeline button.
  • For what happens once the lead exists (the card in the pipeline and the follow-up), see Using WhatsApp conversations.
