Generating a proposal from the meeting

Under Next steps, one click writes the proposal from what the client said and your Business DNA. You edit it, copy it or save it as PDF, and mark it as sent. Initiate plan and up.

Updated on

After a meeting, Hades writes a proposal in about 10 to 20 seconds, from what the client said on the call and your Business DNA. What wasn't said (price, deadline, terms) isn't made up: it becomes an open item for you to fill in. You edit it, copy the text or save it as PDF, and mark it as sent. Hades doesn't send the proposal to the client: you do, through your own channel. It's part of the Initiate plan and up.

Step by step

  1. Click Calls in the left menu, then the Meetings tab, and open the meeting.
  2. Click the Next steps tab. The Proposal card is right below the list of next steps.
  3. Click Generate proposal. The button changes to Writing — this takes a few seconds.... Stay on the page until it opens.
  4. The proposal opens on its own. The top shows the client's name, the draft tag and, if anything is still open, a notice like 2 open items.
  5. Scroll to the Before you send it, sort this out box. It's the AI's note to you: what it couldn't find in the conversation or in your Business DNA. Only you see that box; it doesn't go into the document or the printout.
  6. Click Edit, fill in what was missing and adjust whatever you like (fields listed below). Click Save proposal. Delete the open items you've already sorted out. Then click Document (and reload the page) to see how it looks.
  7. To take the proposal with you: Copy text copies everything as plain text to paste into an email or WhatsApp, and Print or save as PDF opens your browser's print dialog (choose "Save as PDF").
  8. After you send it to the client, click Mark as sent (at the top). The tag changes to sent.

What you can edit

  • Who it is for and Subject — the client and the document's title.
  • Opening — the opening paragraph.
  • What they told you (one per line) — the pains and facts the proposal repeats back to the client.
  • Goal — what the proposal is meant to solve.
  • Workstream 1, 2, 3... — each block of the scope, with a title and What will be done (one per line). Leave the title and items empty to remove a block.
  • Setup fee, Monthly fee and Ad spend — the amounts. You can write "$3,000" or "to be agreed"; the text goes in exactly as you type it.
  • Commercial terms — notes on payment.
  • Deadlines and Next steps — one per line.
  • Open items — the AI's note to you. Delete them as you sort them out.

Where the proposals live

  • Calls → Proposals: the list of the 50 most recent, with the date ("created ..." or "sent ...") and the draft or sent tag. Click one to open it. The New proposal button takes you to the list of meetings, because every proposal starts from a meeting.
  • Inside the meeting: in the Next steps tab, the meeting's proposals show up as links under the text of the Proposal card.
  • More than one version: on the same meeting the button becomes Generate another version. The previous one stays saved.

What the proposal draws on

  • The conversation of the meeting and its analysis.
  • Your Business DNA: it's where the description of what you sell, the prices and the terms you've already filled in come from.
  • What was asked and answered during the call (the checklist and the pre-call script, when the meeting had one), so the proposal doesn't reopen as a doubt something the client already answered.
  • On the Oracle plan or higher, your company's sales memory also goes in.
  • The proposal comes out in your account's language.

If it didn't work

  • A lock and "Proposals are part of the Initiate plan" — your account is on the free plan. Check your plan under Plans, in your account menu. If the company has the plan but your seat hasn't been unlocked yet, whoever manages the account promotes it under Team.
  • "That meeting is too short to turn into a proposal" — the conversation had fewer than two turns.
  • "The AI couldn't write it" — click Generate proposal again. If it keeps happening, message us in the chat.
  • "I wrote it, but couldn't save it" — the proposal was written but didn't save. Click Generate proposal again.
  • I saved and the document didn't change — after Save proposal you see "Reload to see it in the document". Reload the page.
  • Price, deadline or terms are empty — that's on purpose: the AI only fills in what was said in the meeting or is in your Business DNA. Fill them in under Edit; putting your prices in the DNA makes the next proposals come out with them already.

What Hades doesn't do

  • It doesn't send the proposal to the client. Mark as sent only records it, so you know which ones have gone out.
  • It doesn't make up a price, deadline or terms. What's missing shows up as an open item.
  • It doesn't guarantee the client will accept. It's a base text for you to review before sending.

Generating the proposal also moves the client's card on the deals board to the Proposal stage, if the meeting is linked to a client with an open deal. Hades only moves forward, never back a stage.
