Using more than one pipeline (sales, post-sale, partners)

Owners and managers create extra pipelines under Clients, Deals, with the Pipelines button. Each has its own stages. Oracle: up to 5. Demigod: up to 10. The main one gets what Hades creates on its own.

Updated on

By default you have one pipeline, the sales one, and it's enough for most companies. If you track more than one kind of relationship — say, sales and post-sale, or sales and partners —, you can have a separate board for each, with its own stages. The owner or a manager creates and organizes the pipelines; anyone with access to Deals uses the ones that exist.

  • Oracle: up to 5 pipelines.
  • Demigod: up to 10 pipelines. Titan has the same limit as Demigod.
  • The main one counts toward that limit. Below Oracle there's no Deals screen, so there are no extra pipelines.
  • If you moved down a plan, you keep the pipelines you already have. What changes is that you can't create another one until you're back under the limit.

The main pipeline

Every workspace has a main pipeline. If you haven't given it another name, it shows up as Sales. It's always first in the list, can never be deleted (it can be renamed), and it's where the deals Hades creates on its own go: new prospect, meeting, proposal. See the meeting moves the deal on its own.

Create a pipeline

  1. On the dashboard, click Clients and then the Deals tab.
  2. At the top right, click Pipelines. The button only shows for the owner and managers.
  3. In the window, type the name under New pipeline (e.g. Post-sale) and click Add.
  4. If you want, change the order with the Move up and Move down arrows. The main one always stays first.
  5. Click Save pipelines.

A name can be up to 40 characters and can't repeat another pipeline — not even the name Sales, as long as the main one has no name of its own.

Switch pipelines and work in one

  1. Under Clients, in the Deals tab, click the pipeline's name in the row at the top. The board (or the list) now shows only that pipeline's deals.
  2. New deal creates the card in the pipeline that's on screen.
  3. The Stages button edits the stages of that pipeline only (the window title carries its name). A new pipeline starts with the same six stages as always; renaming, reordering and creating stages works as on the deals board.

Move a deal from one pipeline to another

  1. Click the card's name. It opens underneath.
  2. Under Move to another pipeline, pick the destination and click Move.
  3. The card leaves the current board. If its stage exists in the destination pipeline, it lands there; if not, it goes into the first stage over there.

If the destination stage sends a Purchase to Meta and the deal has no amount, the card doesn't move and you see This stage sends a Purchase to Meta: fill in the deal's value to move it. Fill in Amount (R$) on the same card, click Save and try Move again.

Rename, reorder and delete

  • All of this happens in the Pipelines window, and only counts once you click Save pipelines.
  • Delete: the trash can (Delete pipeline) is greyed out while the pipeline has deals in it — won ones count —, with the hint Move this pipeline's deals before deleting it. It also won't delete if an Ads event rule uses that pipeline; in that case the screen tells you to change or delete the rule first.
  • The main one has no trash can and doesn't leave first place.

What changes on other screens

  • Contact page: with two or more pipelines, each deal in the Deals tab says which pipeline it's in, and the stage name comes from the right pipeline. See the contact page.
  • Automatic events for the pixel (Ads): a stage rule applies to one pipeline and one stage. With more than one pipeline, the rule gets a Pipeline field, with the hint The rule applies to this pipeline's stages. The post-sale "Won", for example, doesn't send the Purchase of the sales "Won". See automatic events for the pixel.
  • Phone app: it shows the main pipeline. Picking another pipeline on the phone doesn't exist yet.

If it didn't work

  • I don't see the Pipelines button: only owners and managers do, and only on the Oracle plan and up.
  • The window says my plan allows up to N pipelines: that's the limit. Delete an empty pipeline or change plans (see the plans).
  • "One of the pipelines no longer exists. Reload the page.": someone else changed things while the window was open. Reload the page and do it again.
  • "I couldn't check your plan right now. Try again in a moment.": reading the plan failed while saving. Nothing was saved; click Save pipelines again.
  • "There is already a pipeline called ...": change the name.

What automatic Hades does NOT do here

  • It only touches the main one. A deal you moved to another pipeline stays where it is, even if its meeting moves forward.
  • It doesn't create deals in an extra pipeline: what it creates is born in the main one. To change that, you move the card.
  • It doesn't delete or rename any pipeline.
