The deals board: create, move and edit
Under Clients, in the Deals tab, every deal is a card that moves from first contact to Won or Lost. Oracle plan and up. Owners and managers rename and reorder the stages.

The deals board is your funnel on one screen: every deal is a card, and every column is a stage, from First contact to Won or Lost. It comes with the Oracle plan and up (Oracle, Demigod and Titan). Below Oracle, the screen shows an upgrade invitation instead of the board. On Demigod, a regular rep's seat doesn't see the board until it's moved up to Oracle level — whoever runs the account does that under Team (see adding someone from my team).
A prospect is who the person is; a deal is where they are in the funnel. Every new prospect lands in the first column on its own. To see everything about one person in one place, see the contact page.
Open the board
- On the dashboard, click Clients in the left menu, then the Deals tab.
- At the top, keep In progress selected. The other two options are Client portfolio (the deals you won) and Prospects (the list of people).
- On the right, pick Board (columns, for dragging) or List (one row per deal, better when you have many).
Create a deal
- Click New deal at the top right.
- Under Prospect, pick someone already on the list. For a new person, leave — new prospect — and type the name under New prospect.
- If you want, fill in Amount (R$). It can stay empty. Type it in reais, like
12500or12500.50(dot for cents). The amount is always in reais (R$), even on a dollar account. - Under Stage, pick where it starts (the first one is the default) and click Create.
The deal is created on the board that's on screen. If your account has more than one pipeline, it goes into the one that's open — see several pipelines.
Move between stages
- Drag: grab the card and drop it on the destination column. The card changes column right away and the save happens behind the scenes.
- With the selector on the card: every card has a box showing the current stage; pick another and it moves. It's the way to do it on a phone or with a keyboard, where dragging doesn't work. In List, the selector is in the right-hand column.
- If the server refuses, the card goes back to the stage it was in and a red strip appears saying why, with an X to close it.
- Dropping on Won: Deal closed! shows up with the name and the amount, and the deal leaves the board: it becomes a client and moves to the Client portfolio tab. The Won column only shows how many clients are already there.
Each column shows ten cards at a time. The ones past that sit behind the Show more button, which says how many are left.
Change the amount, the date, or delete
- Click the name on the card. It opens underneath, with Amount (R$) and Expected close date.
- Change what you want and click Save. Cancel closes without changing anything.
- To remove it, click Delete. The screen asks if you want to delete the deal; Delete deal removes it for good and can't be undone, Keep backs out.
Two warnings show up on the card by themselves: cooling off (more than 21 days since the last meeting — or since the deal was created, if it never had a meeting — and it's still not won or lost) and value missing (see just below).
Rename and reorder the stages (owner and manager)
- On the board, click Stages. The button only shows for the owner and managers.
- In the Pipeline stages window, rename any stage. A blank name goes back to the default name. Use the Move up and Move down arrows to change the order.
- To create a stage of your own, type the name under New stage (for example,
Visit booked) and click Add. It goes at the end of the open stages and you move it up with the arrow. - The Name of the won stage and Name of the lost stage fields rename Won and Lost.
- Click Save stages.
- First contact (or whatever name you give it) is always first: it's where every new lead lands. It can be renamed but it doesn't move.
- Won and Lost always stay at the end, in that order, and they're the only ones that close the deal.
- The four stages that came with Hades (First contact, In conversation, Proposal and Follow up) can be renamed and reordered, but not deleted. The trash can only exists on stages you created.
- A stage of yours can't be deleted while it has deals in it (the trash can is greyed out, with the hint Move this stage's deals before deleting it), nor while an Ads event rule uses that stage.
- The limit is 15 open stages, with names up to 40 characters, and two identical names aren't accepted.
When the stage sends a Purchase to Meta, the amount is required
If you set up, under Ads, an automatic event that sends a Purchase when a deal enters a stage — and that event has no fixed amount — Meta rejects a Purchase with no value. So, for deals from leads that came in through the Ads tracker (campaign or integration), Hades won't let the card enter that stage without an amount. See automatic events for the pixel.
- Drag the card to the stage that sends the Purchase. Instead of moving, the What is this deal worth? window opens.
- Type the amount under Amount (R$) and click Save and move. The amount and the stage are saved together.
- To back out, Cancel: the card stays where it was.
A card that's already in that stage with no amount (because it came in through WhatsApp, say) shows the red value missing tag; its Purchase goes out as soon as you fill it in. In those stages you also can't clear a deal's amount: Hades refuses with This deal is in a stage that sends a Purchase to Meta: the value can't be empty. A deal for a person you added by hand never asks for an amount because of this.
If it didn't work
- I see an upgrade invitation instead of the board: the account's plan doesn't include Oracle yet. See the plans.
- It says my seat hasn't been upgraded yet: the company already has Oracle, but the seat of whoever is signed in doesn't. The owner moves it up under Team.
- I don't see the Stages button (or Pipelines): only owners and managers do. Reps work the cards, not the structure.
- The card went back to its old column: read the red strip above the board; it says why (for example, another person already deleted the deal — reload the page).
- I can't delete a stage: either it's one of the four that came with Hades, or it still has deals in it, or an Ads rule depends on it.
- The deal disappeared from In progress: if it went to Won, it's in the Client portfolio tab.
What the board doesn't do
- It doesn't add up deals with no amount: they count toward the number and stay out of the total, and the column says how many.
- It doesn't send a deal to Lost on its own. Hades never takes a card to Lost: that's always up to you. See the meeting moves the deal on its own.
- Delete has no trash bin and no undo: the deal is gone from the board for good.
